This Privacy Policy describes how the Exhibition Services & Contractors Association ("ESCA," "we," "us," or "our") collects, uses, and shares information through gateway.esca.org (the "Site") and The Gateway compliance management program (the "Program").
Information We Collect
We collect information you provide directly to us when you use the Site, including:
- Identifying information such as your name, company name, job title, business email address, business mailing address, and phone number.
- Event and submission information such as the event you are working, booth number, Exhibitor Appointed Contractor or vendor details, and related compliance information.
- Insurance documentation such as certificates of insurance and related policy information.
- Payment information collected by our Service Administrator, ExhibitorInsurance.com, at the point of payment. ESCA does not directly receive or store your payment card information.
- Technical information automatically collected when you visit the Site, including IP address, browser type, device information, and pages visited.
How We Use Your Information
We use the information we collect to:
- Operate the Site and the Program, including processing submissions, conducting compliance review, and issuing clearances.
- Communicate with you about your submission, your account, and Program-related updates.
- Maintain records required by the Program, participating events, and applicable law.
- Improve the Site and the Program.
- Comply with legal obligations and enforce our Terms.
How We Share Your Information
We share information as follows:
- With the Service Administrator (ExhibitorInsurance.com, operated by Neostein Risk Management Inc.) for the purpose of reviewing submitted certificates and administering payment.
- With participating ESCA members, show organizers, and Official Service Providers for events where your submission applies, limited to information necessary to confirm your compliance status for that event.
- With service providers who support the operation of the Site, such as hosting and analytics providers, under confidentiality obligations.
- When required by law, subpoena, or other legal process, or to protect the rights, safety, or property of ESCA, our members, or others.
We do not sell your personal information.
Data Security
We use commercially reasonable administrative, technical, and physical safeguards to protect the information we collect. No method of transmission or storage is fully secure, however, and we cannot guarantee absolute security.
Data Retention
We retain submission records and related information for as long as reasonably necessary to operate the Program, meet legal and regulatory requirements, and resolve disputes.
Your Rights and Choices
Depending on your jurisdiction, you may have the right to access, correct, update, or request deletion of personal information we hold about you. To exercise these rights, contact us at the address below. We will respond within the time required by applicable law.
